Data Privacy Notice

Effective date: October 15, 2026 · Version 2026-10-15

Dear Self Nail, Salon and Spa (“Dear Self”, “we”) is the personal information controller of the information you give us through this website and app. We process it in line with the Data Privacy Act of 2012 (Republic Act No. 10173), its Implementing Rules and Regulations, and the issuances of the National Privacy Commission (NPC), following the principles of transparency, legitimate purpose and proportionality (Sec. 11).

1. What we collect

Identity and contact: your name, mobile number and email address.
Account and sign-in: your account ID, how you sign in (phone, email or Google), whether your phone or email has been verified, and the date and version of the privacy terms you accepted. If you use Google sign-in we receive your Google name, email address and profile photo, but never your Google password.
Bookings: services, packages and promos chosen, date and time, assigned staff, the service checklist and session times, prices, payment method and status, cancellations, reschedules and any notes you add.
Payments: amounts, status and the payment provider’s reference numbers. We never receive or store card numbers, CVV codes or e-wallet passwords; these are entered directly with our payment provider, PayMongo.
Messages and feedback: chat messages with our team, Contact Us messages, and ratings and reviews you choose to submit.
Security data: your internet (IP) address and request counts, used only to stop abuse such as repeated code requests or password guessing. These records delete themselves automatically, usually within a day.

2. Sensitive personal information (health details)

Allergies, skin conditions, pregnancy or other health details are sensitive personal information under Sec. 3(l) of the Act. We do not require them. If you choose to write them in your booking notes or tell our staff, you give your specific consent (Sec. 13(a)) for us to use them only to perform your service safely. Only the staff assigned to your appointment, the front desk and our administrators can see them. Please do not share government ID numbers, bank details or passwords in notes or chat.

3. Why we use it, and our legal basis (Sec. 12)

To book, schedule, perform and bill your services: necessary to fulfil our contract with you (Sec. 12(b)).
To verify your phone or email, keep your account secure, and prevent fraud, double-bookings and abuse: our legitimate interests in a safe service (Sec. 12(f)), balanced against your rights.
To keep official receipts and accounting and tax records: legal obligations (Sec. 12(c)).
Google sign-in, health details in notes, and public reviews: your consent (Sec. 12(a) and 13(a)), which you may withdraw at any time.

We do not sell your information, use it for advertising, or make automated decisions that legally or significantly affect you.

4. Who can see it

Our team, by role: staff see only the appointments assigned to them; the front desk and administrators see what they need to run bookings and payments. Everyone with access is bound to keep your information confidential, even after they leave Dear Self (Sec. 20(e)).
Service providers that run the app for us (personal information processors): Google Firebase (sign-in including text-message verification codes, database, hosting and file storage), PayMongo (online payments), and our email delivery provider (Brevo, or Gmail SMTP). Under Sec. 21 we remain responsible for your information while they process it, and we only use providers that commit to comparable protection.
Public reviews: if you submit a rating or review, your name as you entered it, your rating and your comment are shown publicly on our website.
Authorities: only when the law, a court order or a lawful government request requires it.

International transfers: some providers, such as Google, may store or process data on servers outside the Philippines. Sec. 21 makes us accountable for those transfers, and we require safeguards comparable to Philippine law.

5. How we protect your information and login credentials (Sec. 20)

Passwords: handled by Firebase Authentication and stored only in a protected, one-way (hashed) form. No Dear Self staff member can see your password, and we will never ask for it by phone, chat, email or in person.
Verification codes: 6-digit codes sent by text or email are single-use, expire after 10 minutes, are stored only in scrambled (hashed) form, and lock after 5 wrong attempts. Requests are rate-limited.
Access control: every request is checked on our server against your verified sign-in and role. Customers can only see their own bookings and payments. Prices, discounts, payment status and appointment status can only be set by our server, never by the browser.
Encryption in transit: the website and app only work over secure HTTPS connections.
Payments: card and e-wallet details go directly to PayMongo. A payment counts as received only after PayMongo confirms it to our server.
Deactivated accounts: when a staff account is deactivated, its sign-ins are cancelled immediately.

6. How long we keep it (Sec. 11(e))

Verification codes: deleted as soon as they are used, otherwise automatically after they expire (usually within a day).
Abuse-prevention records: deleted automatically, usually within a day.
Front-desk notifications: deleted automatically after 30 days.
Inactive customer accounts: if you don’t sign in, use your dashboard or have an appointment for 4 weeks, we email you a reminder. After 5 weeks without activity (and at least 7 days after that email), your sign-in account, profile, photo, chats and payment records are deleted automatically. Your appointment records (with your name, but without your email or phone number), staff ratings and reviews are kept so the salon’s booking history stays complete.
Account, booking and payment records: kept while your account is active and afterwards only as long as needed for receipts, accounting and tax rules, refunds or disputes. They are then securely deleted or anonymised.
Chat messages and reviews: kept until you ask us to remove them or your account is closed, unless we need them to resolve a complaint.

7. Your rights as a data subject (Secs. 16–18)

You have the right to:

be informed about how your data is processed (Sec. 16(a)–(b));
access your data, where it came from and who received it (Sec. 16(c));
object to processing, including withdrawing consent you gave;
correct inaccurate or incomplete data (Sec. 16(d));
erase or block data that is outdated, false, unlawfully obtained or no longer needed (Sec. 16(e));
data portability: receive a copy of your data in a common electronic format (Sec. 18);
damages for inaccurate, incomplete, outdated, false, unlawfully obtained or unauthorised use of your data (Sec. 16(f));
file a complaint with the National Privacy Commission.

To use these rights, email dearself.spa.nails.salon@gmail.com with the subject “Data Privacy Request”, or use Contact Us. We may ask you to confirm your identity first so that nobody else can obtain your information. Withdrawing consent does not affect processing already done, and some records (such as receipts) must be kept by law. You can also update your name, contact details, password and photo yourself in your profile.

8. Data breaches

If a breach of personal data creates a real risk of serious harm, we will notify the National Privacy Commission and the affected users within 72 hours of learning of it, as required by Sec. 20(f) and NPC Circular No. 16-03. The notice will explain what happened and what you can do to protect yourself.

9. Data Protection Officer and complaints

Our Data Protection Officer can be reached at dearself.spa.nails.salon@gmail.com (subject: “Attention: Data Protection Officer”). If you are not satisfied with our response, you may complain to the National Privacy Commission.

10. Changes to this notice

If we change how we use your information, we will update this notice, change its version and date, and ask for your agreement again the next time you log in or book.

These Terms apply when you use the Dear Self Nail, Salon and Spa website or app. By ticking the consent box, creating an account, signing in or booking, you agree to these Terms and to our . Your electronic acceptance is a valid agreement under the Electronic Commerce Act (Republic Act No. 8792). If you do not agree, please do not continue.

1. Who can book

You must be 18 or older. For a minor, a parent or legal guardian must make the booking and agree to these Terms for them. Please give true, complete information and keep it up to date.

2. Your account and credentials

One account per person. Your account is linked to your phone number or Gmail/email. If that Gmail/email already has an account, log in and book from your dashboard (Add Service) instead of creating another booking from the public booking form.
Keep your credentials secret. Never share your password, the 6-digit verification codes we send, or access to your Google account. Dear Self will never ask for your password or a verification code. If anyone does, even someone claiming to be our staff, do not give it.
Use a strong password of at least 8 characters that you don’t use anywhere else, and log out on shared devices.
Report problems right away. If you think someone else has used your account or your code, change your password (Forgot password) and email dearself.spa.nails.salon@gmail.com immediately. You are responsible for what happens in your account until you tell us, unless it was caused by our own failure.
Team accounts (staff, receptionist, admin) are created and approved only by Dear Self. Team members may use customer information only for their assigned work and must keep it confidential (Data Privacy Act, Sec. 20(e)).

3. Bookings and appointment status

An appointment goes through these stages: Booked → Confirmed by the front desk → On Session while you are being served → For Payment → Complete. You can follow it live on your dashboard.
We assign qualified staff based on availability. When you book services from several categories, they may be split between staff working at the same time to shorten your visit.
Please arrive on time and tell us about any allergies, skin conditions or other health matters before your service, so we can serve you safely.
Cancelling and rescheduling: you can cancel or reschedule online any time until your appointment starts, and reschedule up to 3 times. The last hour before your appointment, on the day itself, is your 1-hour grace period (for example, 9:30–10:30 AM for a 10:30 AM appointment): your dashboard reminds you that it's your last chance to change or cancel. Once the appointment has started, please talk to the front desk.
No-shows: if you don’t arrive and haven’t told us, the front desk may mark your booking as a no-show after its start time. This frees the time for other customers.

4. Prices, payments and refunds

Prices are in Philippine Pesos and are confirmed by our system when you book. Promos and packages apply only when our system confirms them.
No down payment. Booking is free: you pay after your services are done, either at the front desk or online from your dashboard.
Online payments are processed by PayMongo and count as received only once PayMongo confirms them to us. On-site payments are recorded only by our front desk and appear in your Payment History.
An appointment is Complete only after the amount due is paid. Finishing your services is not the same as paying for them.
If a refund is due (for example, a payment made twice by mistake), it goes back to your original payment method and may take several business days, depending on the payment provider.

5. Acceptable use

You must not:

pretend to be someone else, or use another person’s phone number, email or Google account;
make fake or speculative bookings, or misuse payments;
request verification codes repeatedly, or try to guess passwords or codes;
access accounts or data that are not yours, or test, bypass or attack our security;
scrape or collect other users’ information;
upload harmful files;
harass our staff or other customers.

Unauthorised access and data interference are crimes under the Cybercrime Prevention Act (Republic Act No. 10175), and unauthorised access to personal information is punishable under the Data Privacy Act. We may suspend accounts involved and report them to the authorities.

6. Reviews, messages and content

You keep ownership of what you write. By submitting a rating or review, you allow us to show it, with your name as you entered it, on our website. You may ask us to remove it at any time. Reviews must be honest and must not contain other people’s personal information or offensive content.

7. Service availability and liability

We work to keep the service available and secure, but it may be interrupted for maintenance or by outages at providers such as Google, PayMongo, or email and SMS services. To the extent the law allows, we are not liable for indirect losses caused by events outside our reasonable control. Nothing in these Terms limits your rights under the Consumer Act of the Philippines, the Data Privacy Act or other laws that cannot be waived.

8. Changes, governing law and contact

We may update these Terms. Important changes will be shown in the app with a new version and date, and you will be asked to accept them again. These Terms are governed by the laws of the Republic of the Philippines. Questions or complaints: dearself.spa.nails.salon@gmail.com or Contact Us.
